Summary of Position:

My client a very successful established leading investment portfolio company is looking for an Executive Personal Assistant to form part of our growing team as the company scales further.
The Executive Assistant will be responsible for providing professional administrative support to the CEO, CFO and two senior stakeholders in a dynamic and very fast paced workplace environment.

Main Responsibilities:
  • Provide administration support to the Executive team, while maintaining confidentiality at all times is non negotiable.
  • Organize, manage and support appointments and calendars of the Executive team.
  • Plan, manage and support the weekly and monthly meetings including such as Board meetings, Group level meetings, conferences and 
  • Prepare and circulate meeting agendas, coordinate papers and adhoc, external conferences.
  • Support arrangements for international travel itineraries such as booking flights, hotels, car rentals and visas directly or through travel agencies, as required.
  • Collect and prepare information for use in discussions and meetings, record meeting minutes maintaining an accurate record of decisions taking.
  • Ensure that action points allocated in meetings attended by the Executive team are followed up and appropriately tracked.
  • Inbox support.
  • Complex diary management, prioritizing access and acting as a POC for meeting requests.
Skills & Experience:
  • Previous experience working within a fast-paced corporate environment in a similar environment. 
  • availability (fast response), reliability and attention to detail
  • Proficiency in both written and spoken English a necessity.
  • Ability to keep pace in ever-changing environment that offers and expects flexibility and autonomy.
  • Professional and enthusiastic team player with a flexible, can-do attitude that is results and business focused.
  • High energy, tenacious with a passion in your day to day efforts.
  • Strong communication, planning and administrative capabilities.
  • Extensive experience with MS Office, with the ability to learn new systems when required.
  • Ability to manage multiple works stream and prioritize workload effectively in line with business needs.
